Linking Google or Outlook
Sign in to Google or Outlook / Microsoft 365 once, then press Scan whenever you want fresh results.
- Access is read-only. Bettersubbook can't create, edit or delete events.
- You can link Google, Microsoft, or both. A shift found in both is offered once.
- Prefer not to sign in? Import a file or use a calendar link.
Link a calendar
- Open SettingsIn the popup, go to Settings. The top card is Calendar.
- Choose a providerPress Link calendar, then pick Google Calendar or Outlook / Microsoft 365.
- Sign inA sign-in window opens and asks you to allow read-only calendar access. Browsers close the popup when this window opens. That's normal.
- Let it scanBettersubbook finishes the sign-in and runs the first scan in the background. Reopen the popup: the Calendar card shows “Scanning…”, then how many possible shifts were found.
- Review what it foundThe card links to Review: “N events are waiting in Review”. See Review.
Scanning
Once linked, the Calendar card shows the number found, when you last scanned, and two buttons:
- Scan again scans every linked calendar and calendar link. Use it after your schedule changes.
- Manage opens Calendar settings (below).
A Google scan looks about five months (150 days) ahead. A Microsoft scan runs from today to the end of the year (or about four months ahead, if that's later). Cancelled, declined, “free” and all-day events are skipped.
A scan only replaces its own earlier results. Scanning Google never touches Microsoft data, imported files, links or anything you entered by hand.
Calendar settings
Press Manage (or Settings → Calendar when linked) to open it. It has three sections:
| Section | What you can do |
|---|---|
| Provider | See whether Google and Outlook are linked, link either one, or unlink (you're asked to confirm; saved shifts, availability and Review items stay). |
| Calendar links | See your published-calendar links, Remove any, or Add a link or file. |
| Calendars to scan | Every calendar the account can read gets a checkbox. Uncheck one and its events are never fetched. Press Scan now to apply. Changes don't alter what's already in Review. |
Staying signed in
- Google: the sign-in lasts about an hour. If it has lapsed, the next scan opens the sign-in window again.
- Microsoft: links renew quietly in the background using your browser's Microsoft session, and ask you to sign in again if that's not possible.
- Work or school accounts (a university's, for example) may require an administrator to approve apps that read calendars. If sign-in is blocked, use a calendar link instead.
“Removed from your calendar?”
If a shift you already approved disappears from a linked calendar, the Shifts tab shows a card with that title, listing it. Choose Keep it to leave the shift saved, or Remove to delete it. Bettersubbook never deletes it silently.
Unlinking
Settings → Calendar → Manage → Provider → Unlink. The sign-in token is deleted and revoked with the provider. You can also revoke access from your Google account's permissions page at any time.
